Capture the change before the details change.
A scope change is often agreed in a conversation long before it becomes a clear commercial record. That gap creates forgotten details, disputed prices, slow approvals, and work performed before everyone understands the impact.
ChangeMint turns field capture into a structured path: record the change, build a draft, confirm the commercial facts, route internal approval when needed, send the customer a frozen revision, collect signature and an optional deposit, and retain an executed record.
ChangeMint
AI-assisted change orders for contractors
Built and operated by Nolote Inc. · San Diego, California
From jobsite voice note to customer-ready draft
The product is designed around a real field moment.
A contractor, project manager, superintendent, or field user captures a voice note or enters the details manually. ChangeMint uses the job, customer, template, and workspace context to produce a structured draft that can include:
- Scope of work.
- Reason for the change.
- Labor, material, and other line items.
- Schedule impact.
- Exclusions and assumptions.
- Photos or attachments.
- Customer-facing language.
- Internal notes kept separate from the customer packet.
- Missing-information prompts.
- Risk or dispute flags.
The user reviews and confirms the result before it becomes a commercial document.
AI drafts. People commit.
ChangeMint’s AI can transcribe audio, organize a draft, identify omissions, propose clearer language, flag risk, and ask short clarifying questions.
It may not invent or approve:
- Rates.
- Quantities.
- Taxes.
- Contract totals.
- Deposit requirements.
- Customer consent.
- Approval decisions.
- Signature intent.
Commercial truth belongs to the authorized people and the product’s business rules. AI output remains a suggestion until a person confirms it.
A complete change-order workflow
1. Capture
Create a field capture from voice, text, photos, or attachments. The mobile client is designed for local-first use so work can begin even when the connection is unreliable.
2. Draft
AI and templates turn the capture into a structured revision. The user reviews scope, price, time, language, and missing information.
3. Approve internally
A solo workspace can move directly when no internal approval is required. A company workspace can apply roles, branch scope, and approval rules.
4. Freeze the customer revision
When the revision is offered to the customer, the customer-facing snapshot is frozen. Later material changes create a new revision rather than silently modifying what was sent.
5. Send and sign
The customer opens a public signing experience, reviews the document, confirms consent, signs, rejects, or requests a change. Multi-signer and countersign workflows can be supported according to the product plan.
6. Collect an optional deposit
When a change order requires a deposit, the product coordinates the signing packet and payment state while keeping financial execution separate from change-order content.
7. Retain the executed record
The final document, signature evidence, delivery history, certificate, and artifact hashes create a reproducible record. Executed commercial content is immutable; later events are appended rather than rewritten.
One product for solo contractors and growing companies
ChangeMint uses one workspace model.
Solo workspace
A contractor can capture, draft, send, and track changes without setting up a company hierarchy first.
Company workspace
A growing business can add users, assign roles, create branches, manage seats, apply approvals, share templates, separate responsibilities, and preserve historical authorship.
A solo workspace can move into company mode without splitting into a different product or losing its records.
Built for the field and the office
Mobile
- One-handed capture.

- Upload resume and synchronization.
- Draft review and follow-up.
- Approval and status actions.
Web

The product keeps one authoritative change-order state across both experiences.
Clear state instead of one overloaded status
ChangeMint separates revision, approval, signing packet, payment, and delivery state so the UI can explain what is actually waiting.
Examples:
- Draft needs missing information.
- Revision is waiting for internal approval.
- Customer packet was sent but not viewed.
- One of several signers has signed.
- Deposit payment is pending.
- Executed document is complete.
- A rejected packet has a replacement revision in progress.
This makes follow-up useful and reduces ambiguous “in progress” states.
Trust and document integrity
The product design emphasizes:
- Frozen customer-facing snapshots.
- Separate internal and customer fields.
- Immutable executed revisions.
- Reproducible documents.
- Artifact checksums.
- Signature and delivery evidence.
- Auditable role and approval changes.
- Versioned templates.
- Idempotent external events.
- Customer-facing public routes protected at the gateway.
Legal enforceability, e-signature requirements, messaging consent, payment terms, and retention obligations vary by jurisdiction and contract.
Who ChangeMint is for
- Owner-operators who need a faster path to a professional change order.
- Field teams that capture changes where the work happens.
- Project managers coordinating scope, price, and approval.
- Office teams tracking outstanding customer action.
- Growing contractors that need roles, templates, branches, reports, and audit.
What ChangeMint is not
- It is not a complete accounting, enterprise resource planning, scheduling, procurement, or customer relationship management replacement.
- AI output is not legal or commercial advice.
- A voice note does not become binding simply because the system drafted it.
- The product does not remove the need for contract review, customer consent, tax configuration, payment terms, or local legal compliance.
- An executed record is never edited in place.
